1. Commitment to User Privacy

At VoiceDiary ("we", "our", or "the App"), we hold an uncompromising commitment to protecting your privacy. Personal journal reflections, spoken thoughts, and emotional records are among the most sensitive personal data. We have engineered VoiceDiary so that you retain 100% ownership and control over your reflections.

2. Information We Collect

To deliver voice recording, transcription, and AI insights, we process the following categories of information:

  • Audio Recordings: Voice audio files you voluntarily record inside the app.
  • Transcripts & Text Content: Spoken audio converted into text, user edits, notes, and journal entries.
  • AI-Generated Insights: Automated summaries, mood markers, extracted action items, and topic tags generated from your entries.
  • Account Data: If you sign in via Google Authentication or email, we store your email address, display name, and unique user identifier (UID). Passwords are cryptographically managed by Firebase Auth and are never visible to us.
  • Optional Media & Metadata: Optional photos or location tags you explicitly attach to journal entries.

3. Google Firebase Cloud Architecture

VoiceDiary integrates Google Firebase enterprise cloud services for secure synchronization and storage:

  • Firebase Authentication (firebase_auth): Handles secure sign-in tokens and credentials.
  • Cloud Firestore (cloud_firestore): Stores structured journal text, metadata, mood ratings, and knowledge graph links linked to your unique user ID.
  • Firebase Storage (firebase_storage): Safely archives your recorded audio files in private cloud buckets with access restricted exclusively to your authenticated account.
  • Firebase Core (firebase_core): Provides essential SDK configuration and security diagnostic tokens.

4. Artificial Intelligence & Speech Processing

VoiceDiary utilizes AI language models (including Google Gemini) solely to transcribe your audio, summarize reflections, and compute emotional analytics.

Crucial Assurance: Data sent to AI processing APIs is executed under enterprise zero-data-retention terms. Your voice recordings, transcripts, and personal stories are NEVER used to train, fine-tune, or improve global AI models or public datasets.

5. Encryption & Security Measures

All communications between your device and our cloud servers are encrypted in transit using industry-standard TLS 1.3/SSL protocols. Furthermore, VoiceDiary applies client-side encryption safeguards to ensure that personal journal content cannot be intercepted or read by unauthorized third parties.

6. Data Ownership, Retention & Deletion Rights

You own 100% of your voice recordings, transcripts, and insights. You may delete any individual voice entry at any time inside the app.

To delete your entire account and all associated data, you can:

  1. Use the in-app instant self-service deletion option in Settings → Account & Cloud Sync → Delete Account.
  2. Submit a web deletion request via our Data Deletion Request Page.

Upon confirmation, all Firebase Auth credentials, Cloud Firestore documents, and audio files stored in Firebase Storage are immediately and permanently erased.

7. Children's Privacy

VoiceDiary is not directed to individuals under the age of 13 (or 16 in certain jurisdictions). We do not knowingly collect personal information from children without parental consent.
